Once you have seen demonstrations of Revenue Retriever and discussed how it works in general, we will invite you to try it out, without obligation, in your own organisation and using your own data.
This article outlines the steps which we will take your through. We keep the process as flexible as possible and ensure you retain control of how Revenue Retriever accesses your data and interacts with your Provet Cloud practice management system.
Part one - Review or audit of your billing data
At this stage we are investigating the extent and impact of misbilling within your veterinary group. Revenue Retriever will analyse data from your practice management system and we will report back to you with details of where misbilling is occurring and how much revenue is being missed.
- Review commercial agreement and sign order form.
- Setup Revenue Retriever add-on in your Provet Cloud account. See how.
- Revenue Retriever analyses your billing data. This process is led by our team including discussion of your products and clinical protocols.
- Our team presents the results: reviewing missed revenue, its causes and opportunity for prevention.
- Agreement of next steps.
Part two - Clinical pilots
Here we are working with you to introduce Revenue Retriever into a selected number of your clinics/hospitals, in order to gauge the reaction of your staff and to ensure the Revenue Retriever rules are delivering the expected interventions and potential* savings. At this stage you will have logins to your own Revenue Retriever account, in which you can monitor key metrics and manage the rules which the system uses to review misbilling.
- Agree targets to assess the success of the pilot and as the basis for further rollout.
- Discuss which clinics to use in the pilot and which products and protocols to include in the rules.
- Introduction to how you will use the system and self-manage your rules.
- Briefing staff within pilot clinics, with short videos and detailed written instructions. See examples.
- Go-live in your selected clinics. See how to enable Revenue Retriever in each department.
- Includes regular review, particularly of user reactions and feedback.
- Final review of the pilot: staff reaction, potential* revenue saved, other metrics.
- Agreement of next steps.
*To ease the introduction of Revenue Retriever, we recommend that you give staff the option to override Revenue Retriever's recommendations as often as they wish at the start of the pilot. This gives them time to learn, adapt and give you feedback. However it also means that your actual revenue savings will be substantially lower than the potential savings which Revenue Retriever will be able to make for you once the system is fully embedded.
Part three - Rollout in your veterinary practices
At this stage, we are working together to roll out Revenue Retriever within your veterinary clinics/hospitals. In larger organisations this is usually managed by your IT or project team.
The full rollout is usually phased, but the speed of rollout is limited only by your capacity for briefing your clinical staff. We strongly recommend that you use the pilot phase to test the set of rules that you will be using, so the full rollout uses tried and tested rules for replicable results.
