When you start using Revenue Retriever, our team will take you through the entire process. You can ask them for more information at any stage. This article provides an overview of a typical onboarding process, which is likely to be similar to how we work together.
Part one - Review or audit of your billing data
At this stage we are investigating the extent and impact of misbilling within your veterinary group. Revenue Retriever will analyse data from your practice management system and we will report back to you with details of where misbilling is occurring and how much revenue is being missed.
- Sign commercial agreement.
- Activate Revenue Retriever add-on in your Provet Cloud account.
- Analysis of your billing data, including discussion of your products and clinical protocols.
- Presentation of results: missed revenue and breakdown by each Revenue Retriever rule.
- Agreement of next steps.
Part two - Clinical pilots
Here we are introducing Revenue Retriever into a selected number of your clinics/hospitals, in order to gauge the reaction of your staff and ensure the Revenue Retriever rules are providing the interventions and savings expected.
- Agree key metrics and targets to assess the success of the pilot and as the basis for further rollout.
- Discussion of which clinics to include and which rules to activate, initially and as follow-on.
- Testing the Revenue Retriever-Provet front-end integration in your clinical context.
- Briefing your staff. Short sessions, using video or in-person demos.
- Go-live in your selected clinics. Daily check-in to review staff reactions.
- Ongoing review of revenue saved and other key metrics. Tweaks to the trial if required.
- Introduction of further Revenue Retriever rules, building to the agreed set.
- Final review of the pilot: staff reaction, revenue saved, other metrics.
- Agreement of next steps.
Part three - Rollout in your veterinary practices
At this stage, we are working together to roll out Revenue Retriever within your veterinary clinics/hospitals. As with the pilot, this often starts with just a handful of Revenue Retriever rules, so your staff can get used to its prompts within Provet Cloud.
- Review the commercial and clinical setup of all your clinics/hospitals, including any differences between the products, services and protocols that each uses.
- Agree phased rollout plan, including train-the-trainer and first-line support arrangements.
- Phased implementation.
- Monitoring KPIs, including staff feedback.
- Making any adjustments necessary.
- Phasing in additional Revenue Retriever rules, building to the agreed set.
- Full post-rollout review. Focusing on revenue saved, and also staff feedback.
Part four - Extension and enhancement
Not strictly onboarding, this phase follows an agreed time after the successful rollout. Together we look at ways of adding and fine-tuning rules. In some cases this is about tweaking the parameters of a rule to avoid false-positives. More often it is about using Revenue Retriever's analysis to evaluate the 'long tail' and catch additional, but less common revenue retrieval opportunities.
